This Privacy Policy explains how {{ownerName}} ("ClientClose," "we," "us") collects, uses, and protects information in connection with the ClientClose service at {{websiteLabel}} (the "Service"). By using the Service, you agree to this Policy.
Account information you provide when you sign up: your name, email address, practice name, password (stored hashed), and billing details (processed by Stripe — we do not store full card numbers).
Client and document information that you, as a bookkeeper, enter or collect: the names, email addresses, and phone numbers of your clients, your document checklists, and the files those clients upload (which may include financial documents such as bank statements and receipts).
Usage and technical data: log data such as IP address, browser type, timestamps, and actions taken in the Service, used to operate, secure, and improve it.
Cookies: we use a single essential, http-only session cookie to keep you logged in. We do not use third-party advertising cookies.
We do not sell your personal information, and we do not use the documents your clients upload for any purpose other than providing the Service to you.
We share information with trusted providers who process it on our behalf, under contract, only to deliver the Service:
| Provider | Purpose |
|---|---|
| Stripe | Payment processing and subscription billing |
| Resend | Sending transactional and reminder emails |
| Cloudflare | File storage (uploaded documents) and network/security |
| Neon (hosted PostgreSQL) | Application database |
| Vercel | Application hosting |
We may also disclose information if required by law, to enforce our terms, or to protect the rights, safety, and property of ClientClose, our users, or others.
We keep account and Customer Data for as long as your account is active and as needed to provide the Service. After account closure, we delete or anonymize personal data within a reasonable period, unless we must retain it to comply with law, resolve disputes, or enforce agreements. You can request deletion at any time (see below).
We use industry-standard measures to protect information, including encryption in transit (HTTPS), encryption of stored files at rest, hashed passwords, signed session tokens, and access controls scoped so each bookkeeper can only access their own data. No system is perfectly secure, and we cannot guarantee absolute security, but we work to protect your information and will notify affected users of a breach as required by law.
Depending on where you live (for example, under the California Consumer Privacy Act or the EU/UK GDPR), you may have rights to access, correct, delete, or export your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise any of these, email {{supportEmail}}. We will respond as required by applicable law. We do not discriminate against you for exercising these rights.
If you are one of a bookkeeper's End Clients and want your uploaded documents corrected or removed, please contact the bookkeeper who invited you (they control that data); we will assist them as their processor.
We operate in the United States, and our providers may process data in the U.S. and other countries. If you use the Service from outside the U.S., you understand your information may be transferred to and processed in the U.S., which may have different data-protection laws than your country.
The Service is intended for businesses and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
We may update this Policy from time to time. We will post the updated version here with a new "Last updated" date and, for material changes, provide additional notice (such as email or in-app).
For privacy questions or requests, email {{supportEmail}} or write to {{ownerName}}, {{mailingAddress}}.
