A few principles behind these, because tone is doing most of the work:

  • One ask per email. A list of eleven items with two questions buried in paragraph three gets ignored. Split it.
  • Name a date, not a duration. "By Friday the 8th" gets acted on. "As soon as possible" never does.
  • Say what happens if it doesn't arrive. Not as a threat — as information. Most clients genuinely do not know that a late statement delays their accounts.
  • Escalate the channel, not the tone. The fix for two ignored emails is a phone call, not a colder third email.

1. First monthly request

Subject: {{Month}} bookkeeping — what I need from you

Hi {{first name}},

Time for the {{month}} books. Here's everything I need:

• {{Document 1}}
• {{Document 2}}
• {{Document 3}}

If you can get these to me by {{date}}, your {{month}} accounts will be finished by {{date}}.

Easiest way is to send them straight through here: {{upload link}} — no login needed, and you can do it from your phone.

Thanks,
{{your name}}

2. Friendly first reminder (3 days out)

Subject: Quick nudge — {{month}} documents

Hi {{first name}},

Just a quick reminder that I'm still waiting on a few things for {{month}}:

• {{Outstanding item 1}}
• {{Outstanding item 2}}

No rush if they're on the way — I just didn't want them to get buried.

{{upload link}}

Thanks,
{{your name}}

3. Second reminder, with consequence

Subject: {{Month}} accounts on hold — 2 items outstanding

Hi {{first name}},

I've got everything for {{month}} except:

• {{Outstanding item 1}}
• {{Outstanding item 2}}

I can't reconcile without these, so {{month}} is on hold until they arrive. If they reach me by {{date}} I can still close on time; after that it rolls into next month's work.

{{upload link}}

If something is making these hard to get hold of, tell me — there's usually a workaround.

4. The client who has gone completely silent

Written for the situation bookkeepers describe most often: the client has paid, you cannot work, and three weekly follow-ups have gone unanswered.

Subject: I can't start your work — can we get 10 minutes?

Hi {{first name}},

I've emailed a few times about {{documents}} and haven't heard back, so I want to check in properly rather than keep sending reminders.

Where things stand: you've paid for {{period}}, and I can't begin until I have {{documents}}. Nothing is being worked on and nothing is being billed further — it's simply paused.

Two options. Send the documents here — {{upload link}} — or book ten minutes with me and we'll go through what you've got and find the fastest route: {{booking link}}.

If your circumstances have changed and you'd rather pause the engagement, that's completely fine — just tell me and I'll sort it out.

5. Missing receipts for specific transactions

Subject: {{n}} transactions I need receipts for

Hi {{first name}},

I've got everything reconciled for {{month}} except these, which have no receipt attached:

• {{date}} — {{vendor}} — {{amount}}
• {{date}} — {{vendor}} — {{amount}}
• {{date}} — {{vendor}} — {{amount}}

If you have the receipt, send it here: {{upload link}}. If you don't, just reply with what it was for and I'll record it with a note.

Thanks,
{{your name}}

6. Uncategorized transaction questions

Subject: {{n}} quick questions before I close {{month}}

Hi {{first name}},

Almost done with {{month}}. I just need to know what these were for — one line each is plenty:

• {{date}} — {{description}} — {{amount}}
• {{date}} — {{description}} — {{amount}}

For each one, business or personal is usually enough, plus a couple of words on what it was.

Thanks,
{{your name}}

7. Year-end document request

Subject: Year-end {{year}} — full document list

Hi {{first name}},

Year-end time. Here's everything needed to close {{year}} and get your accounts to {{accountant name}}:

• Bank statements for {{month}} to {{month}}, all accounts
• Credit card statements, all cards
• Loan statements showing year-end balances
• Any asset purchases over {{amount}} with invoices
• Payroll summary reports
• Details of anything unusual this year — new loans, grants, insurance claims

Target date is {{date}} so we're not rushing at the deadline. Send everything here: {{upload link}}

Thanks,
{{your name}}

8. Onboarding request for a new client

Subject: Welcome — here's what I need to get started

Hi {{first name}},

Great to have you on board. To set your books up properly I need:

• Last filed accounts or tax return
• Bank statements for the last {{n}} months, all accounts
• Credit card statements
• Loan and finance agreements
• Details of any assets owned by the business
• Access to {{accounting software}}, or your login details

Everything goes here: {{upload link}}

Once I've got these I'll come back within {{n}} working days with anything else I need and a clear start date.

{{your name}}

9. Catch-up / cleanup document request

Subject: {{Period}} catch-up — full document list

Hi {{first name}},

To bring your books up to date from {{start}} to {{end}}, I need the complete set for that whole period:

• Every bank statement, every account, every month — no gaps
• Every credit card statement
• Receipts and invoices for anything over {{amount}}
• Loan statements covering the period
• Payroll reports, if you had staff
• Anything you already know is unusual or complicated

Complete is more important than fast here. A missing month means starting that section again later, which costs more than waiting a week for it now.

10. Final escalation before pausing work

Subject: Pausing {{month}} work — action needed

Hi {{first name}},

I've asked for {{documents}} on {{date}}, {{date}} and {{date}} without a reply, so I'm pausing work on your account until they arrive.

What this means practically: {{month}} won't be closed, {{consequence — e.g. your VAT return can't be prepared / your accountant can't start}}, and any deadline on {{date}} is now at risk.

Nothing is lost. Send the documents here — {{upload link}} — and I'll pick straight back up.

If you'd rather end the engagement, tell me and I'll hand over everything I hold in good order.

The pattern worth stealing: every one of these ends with a link rather than an instruction. "Reply with the attachments" makes the client find files on a laptop. A link they can open on a phone at a traffic light gets a much higher response rate — which is most of why chasing works or doesn't.

Or stop sending these by hand

ClientClose sends the request, tracks exactly who has replied, and follows up only with the clients who are behind — on your schedule, in your words. Receipts that come back are read by AI and post to QuickBooks Online or Xero in one click. Flat $35/month, clients included.
