There are two distinct jobs hiding inside "receipt collection", and buying the wrong tool means solving the one you didn't have:

  • Capture and extract — turn a photograph of a receipt into vendor, date, tax and total, and get it into the ledger.
  • Collect and chase — get the client to send the receipt in the first place, and follow up when they don't.

Dext, Hubdoc, AutoEntry and Shoeboxed are firmly in the first camp. Only a couple of tools here do the second. Work out which one is eating your week before you compare feature tables.

1. Dext — best extraction, if the documents arrive

The specialist's choice. Dext's extraction holds up on genuinely bad inputs — creased receipts photographed in a van — and its supplier rules learn a client's coding once and apply it forever, which is where the real time comes back. Line-item extraction on supported plans, and it publishes to both QuickBooks Online and Xero.

Best for: high-volume practices with messy source documents. Limits: per-client pricing, and it assumes the client already submitted. Watch for: client adoption — it needs them to install and use the app.

2. Hubdoc — best value if your clients are on Xero

Included with most Xero plans, which makes it very hard to argue with for moderate volumes. Its supplier-fetch feature — logging into utility and telecom portals to pull statements automatically — genuinely removes documents from the client's plate.

Best for: Xero practices with clean, moderate document volume. Limits: extraction weakens on poor scans, and rules are basic compared with Dext.

3. ClientClose — best for the clients who never send anything

Ours, and pitched at the other half of the problem. Instead of asking clients to adopt an app, each one gets a private upload link that opens on their phone with no account and no password. You define what you need each month; the system tracks who has sent what and chases the stragglers automatically. Receipts are then read by AI and post to QuickBooks Online or Xero in one click.

Best for: practices whose bottleneck is non-responsive clients, not extraction accuracy. Limits: no supplier-portal fetching, and it isn't trying to out-extract Dext on pathological documents. Pricing: flat $35/month, clients included.

4. AutoEntry — best budget extraction

Sage-owned, credit-based pricing rather than per client, which suits practices with lumpy volume. Solid extraction and decent line-item handling for the price.

Best for: cost-sensitive practices with variable monthly volume. Limits: credit maths can surprise you in a heavy month; lighter on rules than Dext.

5. Shoeboxed — best for physical paper

The outlier, and the only one that solves a physical problem: you or your client mail an actual envelope of receipts and they come back scanned, categorised and stored. For the client with a literal shoebox, nothing else on this list helps.

Best for: clients who will never photograph anything. Limits: slow by definition, and priced for the service rather than the software.

6. Expensify — best when the client has employees

Built for employee expense reports rather than bookkeeping intake, but if your client has staff submitting expenses and needs approval flows and corporate card reconciliation, it's the right shape.

Best for: clients with employee expense claims. Limits: aimed at the business, not at you — it's a poor fit for collecting a sole trader's month-end paperwork.

The uncomfortable truth: extraction accuracy is a solved-enough problem. If you are still losing days at month-end, it is almost certainly not because the OCR misread a total — it is because four clients hadn't sent anything by the 12th.

Choosing between them

  • If your clients already submit reliably and you just want less typing, buy on extraction quality: Dext, or Hubdoc if your clients are on Xero and volume is moderate.
  • If your clients don't submit, extraction quality is irrelevant. Buy the tool that removes login friction and chases automatically.
  • If one client is the whole problem and they deal in physical paper, Shoeboxed for that client is cheaper than changing their behaviour.
  • Model the cost at your real client count. Per-client pricing on a growing practice compounds quietly.
